Position Title: Academic AdministratorLocation: Astana, Kazakhstan Role Purpose The Academic Administrator provides efficient and proactive administrative support to academic staff and students, helping to ensure the smooth day-to-day delivery of academic activities. The role acts as an important coordination point between academic staff, students and relevant Professional Services teams, supporting effective communication, organisation and administration across academic activities. Key Responsibilities Academic and Faculty Support – Provide day-to-day administrative support to academic staff and students. – Support the coordination of teaching-related activities, meetings, academic events and other School activities. – Assist academic staff with administrative processes, documentation and routine enquiries. – Coordinate information and requests between academic staff and relevant Professional Services teams. – Support the preparation and distribution of teaching materials, schedules, notices and other academic information. – Assist with administrative arrangements for visiting academics, guest lecturers and other academic activities. Coordination and Communication – Facilitate effective communication between academic staff, students and Professional Services teams. – Monitor and respond to general enquiries received by email, telephone or in person, ensuring that queries are addressed or referred appropriately. – Coordinate meetings, prepare relevant documentation and support follow-up actions where required. – Ensure important academic information, deadlines and updates are communicated accurately and in a timely manner. – Follow University communication procedures, guidelines and policies. Administrative Support – Provide efficient and proactive administrative support, including scheduling meetings and events, preparing documents and maintaining records. – Maintain accurate and confidential electronic filing systems and ensure information can be retrieved efficiently. – Support document preparation, data entry, record keeping and routine reporting. – Assist with maintaining accurate information within relevant University systems and databases. – Handle confidential and sensitive information appropriately and in accordance with University requirements. – Contribute to improving administrative processes and ways of working. Events and Academic Activities – Support the organisation and delivery of academic events, meetings, workshops and student activities. – Assist with logistical arrangements, communications, materials and coordination with relevant colleagues. – Provide administrative support during key periods of the academic year, including induction and other major academic activities. Essential Qualifications and Experience – Higher education degree in a relevant field. – Previous administrative experience; experience within a university, school or other educational environment would be an advantage. – Strong proficiency in Microsoft Office and confidence working with databases and information management systems. – Strong written and verbal communication skills. – Good command of English and Russian; Kazakh language proficiency is desirable. – Experience working with multiple stakeholders and coordinating administrative activities would be an advantage.
